The purpose of our processing of personal data
The National Aquarium Denmark – Den Blå Planet’s purpose in collecting personal data is to be able to run the business, conduct marketing, and to provide you with the best experience when you come to visit us either in person or digitally via one of our platforms.
Personal data includes all kinds of information that can be used to identify you as an individual.
The collection of personal data
The National Aquarium Denmark – Den Blå Planet collects personal data that you yourself provide to us or from you using our digital offers and other services.
Generally speaking, The National Aquarium Denmark – Den Blå Planet collects personal data when you:
- Provide contact information yourself, such as your name, email, post code, phone number, date of birth, etc. in connection with entering into an agreement:
- purchase tickets and complete other transactions
- schedule events or experiences
- send data on sponsorships, donations or wills.
- Give us your explicit consent when you sign up for our newsletter, participate in campaigns, competitions, surveys, etc.
The National Aquarium Denmark – Den Blå Planet does not collect sensitive personal data about, for example, race/ethnicity or political/religious/sexual/philosophical orientations, but please note that if you yourself on social media or via other means provide such information (directly or indirectly) then these may appear on our digital platforms. The National Aquarium Denmark – Den Blå Planet does not store information shared via social media, but if you request so, your posts can be deleted.
Video surveillance
The National Aquarium Denmark – Den Blå Planet uses video surveillance to ensure the safety of our guests and employees, to deter crime and to ensure that there is evidence available if a police investigation should require it. The video recordings are stored in secure environments with restricted access and they are deleted after 30 days at the latest. Only a small carefully selected group of employees who have a valid cause for doing so can access the recordings. The signage at The National Aquarium Denmark – Den Blå Planet states that video surveillance is taking place.
Processing of your personal data
The data that is collected is only used for purposes such as:
- processing purchases and delivering tickets, experiences or other services
- the administration of annual passes and to identify and provide services to the annual pass holders as well as guests of specific events and/or experiences
- making statistical analyses and in so doing improve and target our marketing and offers to our guests
Children
The National Aquarium Denmark – Den Blå Planet does not intentionally collect personal data from children under the age of 13. If The National Aquarium Denmark – Den Blå Planet should become aware that we are processing personal data from a child under the age of 13 without the consent of the parents or guardian(s) then we will make every effort to delete this data. If you become aware that a child under the age of 13 has provided The National Aquarium Denmark – Den Blå Planet with information without the consent of the parents or guardian(s), please contact us as soon as possible.
Those receiving newsletters
If you are receiving our newsletter, then you have explicitly given your consent allowing us to send you the newsletter. In order to do so, we have your name and email address.
You can at any time cancel your subscription to the newsletter by using the cancellation link in the emails that we send. Additionally, you can at any time gain insight into the personal data we store on you and ask to have it corrected or deleted.
Purchasing tickets or experiences
As a guest at The National Aquarium Denmark – Den Blå Planet, you can either buy tickets from the sales booth on location or in our online store at www.denblaaplanet.dk. If you pay with cash, then no data will be stored on you.
When you buy from the online store, we need information on you to process the order. We need your name and email address so that we can both send you the ticket and find you in our system if the transaction should fail or you lose your ticket. The payment itself is made via our partner, ePay, who we have a data processor agreement with.
The data collected on you and your purchase is stored for up to 6 years as documentation for the purchase and transaction for accounting purposes and to comply with the Danish Bookkeeping and Statutes of Limitation Act (regnskabs- og forældelsesloven).
Annual pass holders
When you buy an annual pass, you will be providing contact details (name, email, post code, city, country and date of birth) so that we can process your order and deliver the annual pass to you. In order to identify you as the rightful user of the annual pass, your portrait photo will be added to the pass. The portrait, which is only used in connection with access control, is stored together with your personal data in a database that only a limited number of employees can access and only for legitimate reasons.
The data related to your annual pass can be changed at any time by logging in to your account at www.denblaaplanet.dk. However, you cannot edit your date of birth. If the date of birth is wrong, you must contact us.
The annual pass can only be created by us receiving and processing your personal data. If after registration you want us to delete your data, this will also result in your annual pass being cancelled and revoked. However, you can at any time exercise your rights by contacting us directly.
The National Aquarium Denmark – Den Blå Planet registers information on your visits during the active period of the annual pass for statistical purposes and to ensure that the card is not being misused.
Donations
In collaboration with onlinefundraising.dk, you have the opportunity to donate a sum to the National Aquarium Denmark – Den Blå Planet. You can donate anonymously by typing in a dummy name/email address.
If you write your actual name and email, we will use it for documentation to the Danish Tax Agency in connection with VAT compensation.
If you also provide your CPR/civil registration number, then we will save it so that you can report your donation to the Danish Tax Agency and get your tax deduction.
B-2-B
When you are in contact with our B-2-B sales team, including School Service, we will store the information that we need in order to process inquiries or orders. Generally speaking, the information includes the name and contact details for you and your company.
Storing and deletion of data
The National Aquarium Denmark – Den Blå Planet ensures that all data that is collected is handled and updated so that personal data is only stored for the period where it serves its purpose. After that, the data is deleted or anonymized. The time frame will typically be 5-6 years after the formal end of the business collaboration, as per the Danish Bookkeeping and Statutes of Limitations Act (regnskabs og forældelsesloven). Our legal basis for storing personal data derives from the General Data Protection Regulation’s Section 6(1).
The data we store is based on consent as mentioned in Section 6(1)(a) which covers, for example, newsletters where we generally store your data until you withdraw your consent.
Passing on information
The National Aquarium Denmark – Den Blå Planet does not pass on personal data to other data controllers unless you expressly consent to this or it is used to fulfill a contractual obligation or if we are legally required to do so.
In addition, we use a number of third parties who store and/or process data on our behalf. These data processors are not entitled to use your personal data for other purposes than to supply the agreed upon services to The National Aquarium Denmark – Den Blå Planet via a data processor agreement.
Security
The National Aquarium Denmark – Den Blå Planet has taken the appropriate technical and organizational measures to prevent your data from accidentally or illegally being deleted, published, lost, impaired or shared with non-authorized parties, misused or otherwise processed contrary to the law. Internally at The National Aquarium Denmark – Den Blå Planet there are only a limited number of employees with specific needs to do so who have access to your personal data. The National Aquarium Denmark – Den Blå Planet has internal rules governing data security and they include measures to ensure that your data is stored safely.
Your rights
As a result of us collecting and processing your personal data, you also have a number of rights that you can exercise at any time.
- You have the right to gain insight into what data we are processing, where the data comes from and for what purposes your personal data is being processed.
- You are entitled to know how and for how long we store your data.
- You have the right to demand correction, deletion or blocking of data that is incorrect.
- In the event that your personal data is used for direct marketing purposes, you also have the right to object to the processing. If you do so, The National Aquarium Denmark – Den Blå Planet will no longer process your personal data for marketing-related activities. If you wish to object, you must contact us.
- In addition, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have these personal data transferred by us, as the data controller, to another data controller without obstruction.
Your satisfaction and trust are important to us, and we understand that we have a responsibility to handle your personal data with care, under secure conditions and in compliance with the legislation on the area. For that reason, we would greatly appreciate it if you would contact us if and when you wish to exercise your rights.
Consent-based processing
When we process your personal data based on consent, you can at any time notify us that you wish to withdraw your consent. If you do so, The National Aquarium Denmark – Den Blå Planet will cease processing your personal data. At the bottom of every newsletter there is a link where you can cancel your subscription.
